What we keep about you and your business, why we keep it, and how to have it deleted. Last updated 23 October 2026.

The short version

Packshine POS runs on your own computer. Your sales, stock, customers, suppliers and prices stay there. We only receive what is needed to check your licence, and anything else only if you switch on an online add-on. You can stop an add-on at any time and we delete your copy.

Packshine POS: the licence check

Every few hours, when the computer has internet, the POS checks its licence with our licensing server. It sends:

  • a random ID for this installation, and your licence key once you have one;
  • your business name and business type (auto shop, supermarket or bar);
  • the business phone number and town you enter when you set up the POS (you can change them in Settings);
  • how many shops and tills are switched on (to match your licence);
  • which services you said you would like when setting up the POS (so we can call you about them);
  • the computer's name and the Packshine POS version.

Like any website, our server also sees the internet address the request comes from. It sends nothing about your sales, stock, customers, suppliers or prices. We use this information to issue your licence, to know which version you run when you call for help, and to contact you about payments and your trial.

The owner app account

If you create an account in the Packshine owner app, we keep your name, phone number, email (if you give it), a scrambled form of your password that can't be turned back into it, and the list of businesses you added by scanning a shop's QR code, with the address your phone uses to reach each shop's computer. Your phone reads your sales and stock directly from the shop's computer; they don't pass through our server. You can remove a business from your account at any time, and ask us to delete the account.

The free staff app (waiters and bartenders)

If you use the Packshine app as a waiter or bartender without a Packshine computer, your menu, tabs, payments, cash handovers, tips and shifts are kept only on your phone. We don't receive them. Closed tabs older than 90 days are removed from the phone, and Stop using the staff app deletes everything.

Teams. If a bartender starts a team (and agrees to this when starting it), the team's phones share their work through our server in Zambia: the bar's name and town, each member's first name and role, the menu and prices, and the tabs (table or customer name as typed, drinks, payments), cash handovers and tips. Each member's phone only receives the team's own data. A tab, handover or tip is deleted 60 days after it was closed, confirmed or recorded; a team that nobody uses for 90 days is deleted whole, and the person who started the team can delete it at any time. Leaving a team removes the team's data from your phone.

To see whether the app is used and how to improve it, the app sends us anonymous counts every few hours when it has internet: a random ID for the app on that phone, the app version, your role (waiter, bartender or both), the town if you typed one, and per day the number of tabs, items, payments, handovers, tips, tabs left unpaid and shifts ended, and the day's sales total. No names, no phone numbers, no customers and no tab details. You can switch this off in More → Help improve the app.

Only if you tap Packshine for your bar and tick the box agreeing that we may contact you, we receive what you type in that form (your name, phone number, the bar's name and town, and the owner's name and phone if you give them) and a few counts about how much you use the app: the number of drinks on your menu, tabs and their total in the last week, and the number of days you used it. No customer names and no details of any tab. We use this only to call you or the owner about Packshine POS. Ask us at any time to delete it.

The Packshine phone app: camera and location

Camera. The app uses the camera only when you tap to scan a barcode or a QR code, or to take a product photo. Pictures of products go to your shop's own computer. Nothing is recorded otherwise.

Location (sales phones only). A shop can pair a phone as a sales phone, so cashiers can sell on it. The owner chooses an area around the shop where it may sell. The phone reads its location when it is paired and when a cashier completes a sale, to check it is near the shop, and sends that location with the sale to the shop's own computer, where the owner can see it. It is not sent to us, not tracked in the background and not used for anything else. Other uses of the app (the owner's app, the staff app) don't use location.

Sales phones. The phone keeps the shop's products and prices and its own sales until they reach the shop's computer, and the user names of the cashiers who signed in on it, with a scrambled form of their password so they can sign in when the shop's computer can't be reached. Unpair this phone deletes all of it from the phone.

Mobile money requests. If a shop turns on mobile money requests, the till sends the customer's number and the amount to the shop's own payment company (for example Lenco or Flutterwave) so the customer can approve the payment on their phone. That company handles it under its own privacy policy; we don't receive it.

Referral codes

Each phone with the Packshine app and each business with Packshine POS can get a referral code. For this we keep the code, who introduced whom, and the points earned. A phone is known only by a scrambled form of its own id (we can't turn it back into the id). If you choose to give your name and phone number on the Invite and earn screen, we keep them to contact you about your rewards. A business's code is linked to its POS installation, with the business name and phone it already sends for the licence. Ask us at any time to delete your code and details.
